Club rides for cycling & running clubs

Club rides are for cycling, running and walking clubs whose events are really rides, so instead of a plain event you get the distance, climbing and route, pace groups that each have their own places and ride leaders, and a way for leaders to sign their group on from their phone.

Switch it on

If you answered Cycling or running club when you first signed in, this is already done: Club Rides is switched on and you have a Club ride event type ready to use (see quick setup). Otherwise:

  1. Go to More → Settings → Features and tick Club rides under Cycling & running clubs.
  2. Open Events, click Manage event types, and either add a type with Events of this type are rides ticked, or edit the type you use for rides (for example "Club Ride") and tick it. For cycling and running clubs the tick is on by default when you add a type.

Ride features (pace groups, ride leaders and leader sign-on) only work on events whose type has Events of this type are rides ticked, and once it is ticked every event of that type is a ride. It works with recurring events too, so a weekly bunch ride is set up once.

Set up a ride

  1. Open the ride and, on the Details tab, fill in the Ride section: type (road, gravel, mountain bike, run, walk), distance, climbing, a route link, regroups and stops, and whether it is a No-drop ride. A RideWithGPS or Komoot link also shows the route map on your website.
  2. On the Pace groups tab, click Add A / B / C groups for a ready-made set, or add your own. Each group has a label, a pace (km/h, or min/km for runners and walkers), its own number of places, and a price. A min/km pace can be typed as 5:30. Set the member price to 0 for "members free, guests pay".
  3. Pick a Ride leader and a Sweep for each group. Leaders are for that date only, so next week's rota never changes by accident.
  4. Publish the ride. Only published rides show up for leaders and riders in My rides.

Plan the rota

On the series page, the Rota tab shows every coming date with a leader and sweep for each group, and any group that doesn't have a leader yet is marked with an orange box. Make your changes and click Save rota. Leaders get an email the day before with their group, how many are booked, and the link to sign riders on.

What riders see

On your website, in the events embed and in the member portal, the ride card shows the distance, climbing, route and each group with its pace, places left and leader's first name. Join B takes a rider straight to sign-up with that group chosen.

Riders booked on an upcoming ride also get My rides in the member portal. Under Rides you are booked on they can Switch group, as long as the other group has room and costs them the same, and they can see their own rides, distance and climbing for the season.

On the day: signing the group on

Leaders do not need an Anggota login for staff. In the member portal they open My rides, find the ride under Rides you lead, and:

  • tap Sign on next to each rider on their group's list, or
  • tap Scan membership cards and scan each rider's card QR, or
  • use Add a walk-up for someone who turned up without booking and has no card. Enter their first name and email (the last name is optional) and tap Add and sign on.

Leaders can open their list any time, but sign-on only works from 12 hours before the ride starts until 24 hours after it.

Anyone scanned or added who had not booked joins that group for free. A rider on the waitlist who turns up and is signed on gets the place. Every sign-on is recorded as attendance, so points and attendance history work as for any event.

Undo a mistake: tap the green Signed on button next to the rider. A leader can only undo sign-ons a leader made. If the club signed the rider on (for example at the desk or from the admin list), the leader sees a message asking them to ask the club to change it. Undoing a walk-up also cancels the place they were given, and if the group was full, that place goes to the next person on its waitlist.

Call the ride off: tick Ride leaders can call a ride off under Settings → Features to give leaders a Call the ride off button, for example for bad weather. Only leaders get it (not sweeps), and only before the ride starts. It cancels the date and emails everyone booked. The club owner also gets a Ride called off by a leader email with a link to see who was booked and how many had paid, as they may need refunds.

Stats, leaderboard and points

  • More → Ride stats shows each member's rides, distance and climbing for the season, from rides they were signed on to. The season is the calendar year.
  • Tick Show a public leaderboard under Settings → Features → Cycling & running clubs to add a leaderboard page to your website. It lists the top 50 current members by distance this season, with first names and last initials only. The page only shows while your website is published.
  • To put the leaderboard on a page of your website, add a Ride leaderboard section and choose How many riders (top 10, 20 or 50). It is only offered while Club Rides is on.
  • Set Points for leading a ride to reward leaders and sweeps. They get the points once per date, when they sign their first rider on, even if they lead or sweep more than one group. This needs Member points switched on under Settings → Features.
