Importing from a spreadsheet

Already have your members in a spreadsheet? You can bring them all in at once with the CSV importer, so there is no re-typing. The importer follows the language you are working in: English, Bahasa Indonesia or Bahasa Melayu.

Step by step

  1. Save your list from Excel or Google Sheets as a CSV file. The first row must hold your column names.
  2. Open Members, click the ⋯ button in the top-right and choose Import data (or go to More → Import contacts).
  3. Choose Contacts / Members, pick your CSV file and click Continue to mapping.
  4. Anggota matches your columns to its fields wherever it can. Check each one, and for any column it could not match, choose the right field, or Don't import to leave it out.
  5. Choose how existing members are recognised and whether to skip or update them (see below), then click Start import.
  6. The results page shows how many members were created, updated, skipped or failed, and lists the rows that need fixing (up to 200 rows; you can download them as a CSV). We also email you when the import is done.

The import itself doesn't message or invite anyone, so you decide when to invite your members. Members on a level that renews join your renewal schedule as usual: they get their renewal invoice and reminders as their renewal date approaches.

The columns you can use

First name, last name, display name, email, phone, status, membership number, preferred locale and external reference. Every row needs an email address, unless you match by name (then a new member needs an email or a phone number). Plus:

  • Membership level - the name of one of your levels in Anggota (capitals and extra spaces don't matter).
  • Next renewal date - written year-month-day, for example 2027-01-31. Renewals are billed from this date. A date in the past is ignored; a new member's renewal period then starts from the day you import.
  • Membership status - for example active, lapsed, pending, cancelled or inactive (paid and expired work too).

The renewal date and membership status only apply together with a membership level, or to someone who already has a membership. Any other column can be left out with Don't import.

Matching and updating

Two choices control what happens to people who are already in Anggota:

  • Match existing records by - recognise an existing member by their email or their name.
  • When a record already exists - either skip it (only add new people) or update it with the values in your file.

Tip: start with a small test file of five or ten rows, and once you are happy with the result, import the full list. Files can be up to 20 MB.
