Recurring events and season tickets

If something happens on a regular schedule (weekly training, a Sunday ride, a monthly committee meeting), you set it up once and Anggota creates every date for you. Each date is its own event, so it has its own bookings, attendance and changes, and members book the dates they want.

Make an event repeat

  1. Open Events and click New event, or open an existing event with a start date.
  2. Under Repeat, choose Weekly or Monthly:
    • Weekly: every week, or every 2, 3 or more weeks, on one or more days (for example Saturday and Sunday).
    • Monthly: on a day of the month (the 15th), or on a weekday such as the first Tuesday or the last Friday.
  3. Choose when it ends: never, on a date, or after a number of dates.
  4. Choose how far ahead to create dates, from 1 week up to 52 weeks (a year). The default is 12 weeks. Anggota tops this up every night, so a weekly event always has dates ready.
  5. Save. You land on the series page. A coloured bar at the top tells you whether members can see it: peach means some or all dates are still drafts, with a button such as Publish 12 dates; teal means they are live. Once you publish, dates created later are published automatically. Below the bar, the Dates, Tickets and Schedule tabs hold everything else. A ride series also has a Rota tab for its ride leaders (see club rides).

The tickets, prices, member prices, questions and details of the first date are copied onto every new date. Times stay in your local time, including across daylight saving: a 6:30am ride stays at 6:30am.

Change one date, or all future dates

Open any date and edit it. In the bar at the top, next to Save, choose under Apply these changes to:

  • This and all future dates: the change is copied to every later date, and dates created from now on use it too. Use this to fix a typo, change the price or add a ticket.
  • This date only: only this date changes, for example a different venue one week. Later series-wide changes will not overwrite it.

The same choice appears when you add, edit or remove a ticket on a date.

If a date is still a draft, its bar and banner show Publish all upcoming dates. That button publishes every upcoming date in the series, not just the one you are looking at.

Dates that already have bookings still get content changes (description, location, prices for new buyers), but they are never moved to a new time without you. If a time change skips any, Anggota lists them so you can open each one.

Cancel a date

For a public holiday or bad weather, open the series page (or the date) and click Cancel next to the date. Everyone booked on it gets the Event Date Cancelled email. Paid bookings are not refunded automatically: the series page lists who paid for a cancelled date so you can refund them from their invoice or move them to another date.

Change or end the schedule

On the series page, the Schedule tab lets you change the days, the start time, the length and how far ahead dates are created. Future dates that no longer fit the new pattern are removed, unless someone has booked them, in which case they are kept and listed so you can decide what to do.

End this recurring event stops new dates after the day you choose. Future dates nobody has booked are removed. Past dates, attendance and payments are always kept.

Paid events and member pricing

Each date has its own tickets and its own capacity, and works exactly like a one-off event:

  • Member price works on every date. A member price of 0 gives you "members free, guests pay".
  • Tickets limited to certain membership levels work on every date.
  • Changing a price for future dates never changes an invoice someone has already received.
  • Each invoice line includes the event name and date, so a member with several bookings can tell them apart.

Season tickets

A season ticket lets someone pay once and be booked onto every date in a period, for example "Term 4" or "Summer season".

  1. Open the series page, go to the Tickets tab and click Add season ticket.
  2. Enter a name, the price and an optional member price, and the dates it covers.
  3. Optionally limit how many are sold, when it is on sale (for example the first two weeks of term), which membership levels can buy it, and the terms buyers see.
  4. Share its link (there is a Copy link button), or let members find it: it appears on each date's public page and in the events embed.

When a season ticket is paid (or straight away, if it is free), the holder is booked onto every date still to come that it covers, including dates created later. They get the Season Ticket Confirmation email. Under Holders you can see who bought it and cancel one: the holder loses their place on future dates, and money is not refunded automatically.

Where members see it

On your website and in the events embed, a recurring event shows once, as its next date, with how it repeats. Its page lists the other upcoming dates and any season ticket on sale. In the member portal, members also see every date they have booked.
